How to Create and Plan a Research Survey

A good research survey begins before you write the first survey question.

It begins with a different question:

What do I need to learn from the people who complete this survey?

That distinction matters.

It is easy to create a list of interesting questions. It is much harder to create a survey that produces evidence capable of helping you investigate a research question.


A useful survey has a chain of purpose:

Research problem → Research question → Information needed → Participants → Survey questions → Data → Analysis

If one part of that chain is weak, the survey may collect a great deal of information without producing the evidence the research actually needs.


Before the Questions: Make Five Decisions

Before drafting the survey itself, you should be able to explain five things.

1. What are you investigating?

Start with the research problem and research question.


2. What information do you need?

Identify the attitudes, experiences, behaviors, characteristics, perceptions, or other variables you need to investigate.


3. Who can provide that information?

Define the population relevant to the research.


4. How can the information be measured?

Determine whether you need categories, ratings, frequencies, selections, rankings, written responses, or another form of measurement.


5. What will you do with the answers?

Think about analysis before collecting the data.

These decisions turn a collection of questions into a research instrument.


Start With the Research Question

Suppose your research question is:

How do hybrid work schedules affect perceived productivity among employees of small technology companies?

You could ask participants dozens of questions about work.

But your research question tells you what information is especially important.

You may need to understand:


  • the participant's work arrangement
  • number of remote and in-office days
  • perceived productivity
  • ability to concentrate
  • communication with coworkers
  • access to necessary resources
  • interruptions
  • schedule flexibility
  • possibly job role or other relevant characteristics


Now the survey has direction.

Each question should earn its place by helping you investigate something relevant.


Build a Question Map Before the Survey

One useful planning technique is to map what you need to learn before deciding exactly how to ask it.

For example:

This simple step can expose unnecessary questions and missing information before the survey becomes difficult to change.


Decide Who Should Answer the Survey

A survey is not strengthened simply by collecting more responses.

The responses need to come from people relevant to the research question.

Ask:

Who is the population I am trying to understand?

Then determine what qualifies someone to participate.


For the hybrid-work example, you might consider:

  • employees of small technology companies
  • employees currently working hybrid schedules
  • employees with a minimum period of hybrid-work experience
  • particular job categories, if relevant


Your research methodology will determine how participants are selected and how broadly the findings can reasonably be interpreted.

Do not make the population broader simply because broader recruitment is easier.




Ask Only What You Need

Long surveys can create problems.

Participants may:


  • abandon the survey
  • rush through later questions
  • select answers without careful consideration
  • become frustrated
  • provide lower-quality responses


Before keeping a question, ask:

How will I use the answer?

If you cannot explain its relationship to the research, methodology, analysis, or necessary participant context, reconsider whether it belongs.

Interesting is not the same as necessary.


One Question Should Ask One Thing

Consider:

How satisfied are you with your workload and work-life balance?

What happens if a participant is satisfied with the workload but dissatisfied with work-life balance?

There is no accurate answer.

Separate the ideas:

How satisfied are you with your current workload?

and

How satisfied are you with your current work-life balance?

This is sometimes called avoiding a double-barreled question.

One question should generally measure one thing.


Watch for Questions That Suggest the Answer

Compare these questions:

How much has flexible work improved your productivity?

and:

How would you describe the effect of flexible work on your productivity?

The first assumes productivity improved.

The second allows the participant to report an increase, decrease, or no change.

Small wording choices can influence responses.

Look carefully for words that imply:

  • one answer is preferable
  • an outcome has already occurred
  • the participant should agree with an assumption
  • one behavior is more socially acceptable

A research survey should measure the participant's response—not guide the participant toward yours.


Give Participants an Answer They Can Actually Choose

Response options need as much attention as the question.

Suppose you ask:

How many days per week do you work remotely?

and provide:

  • 1 day
  • 2 days
  • 3 days

What should someone working remotely four days select?

Your response choices should reasonably cover the possibilities relevant to your participants.

Also consider whether you need options such as:

Not applicable

Prefer not to answer

Other

Don't know / Unsure

Not every question requires these options, but forcing participants into inaccurate responses can weaken the data.


Keep Scales Consistent

Rating scales are common in survey research.

For example:

How satisfied are you with your current work arrangement?

1 — Very dissatisfied

2 — Dissatisfied

3 — Neither satisfied nor dissatisfied

4 — Satisfied

5 — Very satisfied

If you use several scales, avoid changing their meaning unnecessarily.

If 1 means negative in one question and positive in the next, participants can make mistakes.

Consistency reduces unnecessary cognitive effort and can make the resulting data easier to interpret.


Closed or Open? They Do Different Jobs

Closed-ended questions

These provide defined choices.

Examples include:

  • yes/no
  • multiple choice
  • frequency
  • rating scales
  • rankings

They are often easier to compare and analyze across many participants.

Open-ended questions

These allow participants to answer in their own words.

For example:

What has been the greatest challenge of working a hybrid schedule?

These responses can reveal experiences or explanations you did not anticipate.

But they also require a different type of analysis.

The right choice depends on what the research needs to learn.

Some surveys benefit from both.


Be Careful With Demographic Questions

Demographic information can be important when characteristics of the population are relevant to the research.

But do not collect personal information simply because surveys traditionally include it.

For each demographic question, ask:

Why does my research need this information?

Collecting unnecessary personal information can increase privacy concerns and complicate research responsibilities without improving the study.

This is especially important when information could be sensitive or could make participants identifiable.


Put the Survey in a Logical Order

Question order affects the participant experience.

A survey might move from:

Eligibility

General context

Core research questions

More detailed questions

Open-ended observations

Relevant demographic information

The appropriate sequence depends on the study, but participants should not feel as though they are jumping randomly between unrelated subjects.

Grouping related questions can make the survey easier to understand and complete.


Test the Survey Before You Send It

A question that seems perfectly clear to the researcher may not be clear to a participant.

Before distributing a survey, test it.

Ask someone appropriate to complete it and observe where problems occur.

Look for:

  • confusing wording
  • missing response choices
  • repetitive questions
  • unclear instructions
  • questions interpreted differently than intended
  • technical problems
  • excessive completion time
  • unexpected assumptions

Then revise.

A small problem discovered before distribution is much easier to fix than the same problem discovered after hundreds of responses have been collected.


Plan the Analysis Before Collecting the Data

This is one of the most useful checks you can perform.

Take each important survey question and ask:

What will I do with these responses?

Suppose you ask participants to rate perceived productivity from 1 to 5.

How will that help investigate the research question?

Will you compare responses according to the number of hybrid days?

Will you summarize the distribution?

Will you examine relationships with another variable?

Your methodology and statistical approach determine the appropriate analysis, but thinking about the eventual use of the data can expose poorly designed survey questions.

If you do not know what an answer would tell you, the question may not be ready.


Don't Forget Research Requirements and Ethics

A thesis survey does not exist independently of your institution's research requirements.

Depending on the research, institution, jurisdiction, and population, you may need to address matters such as:

  • research ethics approval
  • informed consent
  • participant recruitment
  • privacy
  • anonymity or confidentiality
  • data collection
  • data storage
  • retention or destruction of research data
  • research involving vulnerable populations
  • institutional or organizational permission

Do not assume that creating the survey means you are ready to distribute it.

Review the requirements that apply to your research before collecting participant data.

Your supervisor, program, institution, or appropriate research ethics body should guide you when approval is required.


A Final Survey Check

Before distribution, look at the survey from three different perspectives.

As the researcher

Does every important question help investigate the study?

As the participant

Are the questions clear, reasonable, and easy to answer accurately?

As the future analyst

Will the responses actually give you information you can interpret?

If the survey works from all three perspectives, you are much closer to a useful research instrument.


From Survey to Evidence

Creating the questionnaire is only one part of survey research.

The larger process is:

Research question

→ Survey design

→ Research requirements and approval

→ Participant recruitment

→ Data collection

→ Data organization

→ Analysis

→ Interpretation

→ Thesis

A survey succeeds when the evidence it produces helps you investigate the research problem—not when it simply generates a large number of responses.
