How to Present Research Data With Tables, Figures, and Charts


Research data does not always belong in a paragraph.

Sometimes a table makes a comparison immediately understandable. A chart can reveal a pattern that is difficult to see in rows of numbers. A figure can communicate a process, model, image, or other visual evidence more effectively than several paragraphs of description.


The important question is not:

How can I make my thesis more visual?

It is:

What is the clearest and most academically appropriate way to communicate this information?

A good table, figure, or chart should help the reader understand the research—not simply decorate the page.


Start With the Information, Not the Graphic

Before creating a visual, decide what you want the reader to understand.

Perhaps you need to show:

  • differences between groups
  • responses to survey questions
  • change over time
  • relationships between variables
  • categories or distributions
  • qualitative themes
  • demographic information
  • a process or conceptual model
  • an image relevant to the research
  • detailed values readers may need to compare

Once the purpose is clear, choosing the right presentation becomes easier.


Table, Chart, or Figure?

Each has a different job.


Use a Table When Exact Values Matter


Tables work well when readers need to compare individual values or when the data contains several variables.

For example:

A reader can inspect the exact values.

Tables are especially useful for detailed results that would become cumbersome if described entirely in prose.




Use a Chart When the Pattern Matters


If the main point is the relationship or pattern rather than the individual numbers, a chart may communicate it more quickly.

Charts can be useful for showing:

comparisons — bar charts

change over time — line charts

proportions — pie or other appropriate proportional charts

relationships between numerical variables — scatter plots

The type of chart should follow the data and research purpose.

Do not select a chart because it looks impressive. Select it because it makes the evidence easier to understand.




Use a Figure for Other Visual Information


In academic writing, figure is often the broader category used for visual material that is not a table.

Depending on your discipline and institutional requirements, figures may include:

  • charts and graphs
  • diagrams
  • photographs
  • maps
  • conceptual models
  • process diagrams
  • illustrations
  • screenshots or other research-related images

Always follow the terminology and formatting requirements of your institution or required citation style.




Don't Show the Same Information Three Times

Suppose a table already gives the results clearly.

You probably do not need to repeat every value in the paragraph immediately below it.

Instead of:

Group A scored 3.6, Group B scored 4.1, and Group C scored 3.9.

the writing can explain what matters:

Participants in the balanced hybrid group reported the highest mean productivity rating, although the differences among the three groups were relatively modest.

The table provides the numbers.

The writing provides the interpretation.

Likewise, avoid presenting the same data as a table and a chart unless there is a legitimate reason for both.


Give Every Table and Figure a Purpose

A useful test is to temporarily remove the visual from the thesis.

Ask:

What becomes harder for the reader to understand?

If the answer is "nothing," the visual may not be necessary.

Every table or figure should contribute something:

comparison

pattern

evidence

clarification

organization

or

understanding

More visuals do not automatically make research stronger.

Clearer evidence does.


Titles and Captions Matter

A table or figure should not make the reader guess what it represents.

Depending on the required academic style, you may need elements such as:

Table or figure number

Title

Caption or explanatory note

Source or citation

A weak title might be:

Survey Results

A more useful title might be:

Reported Productivity by Hybrid Work Arrangement

The second tells the reader what information the visual contains before they examine it.

Captions and notes can provide additional context when needed, but they should not become miniature essays.


Cite Visual Material That Is Not Your Own

If you reproduce, adapt, or build from someone else's table, figure, chart, image, or data, appropriate attribution may be required.

Exactly how that attribution should appear depends on factors such as:

  • the citation style
  • whether the material is reproduced or adapted
  • the original source
  • publication or copyright requirements
  • your institution's guidelines

Common academic styles such as APA, MLA, Chicago, and others handle tables, figures, notes, captions, and source attribution differently.

Do not assume that adding the author's name somewhere near the image is sufficient.

Follow the citation style and institutional requirements that apply to your thesis.


Make Charts Easy to Read

Academic charts usually benefit from restraint.

Check that:

  • axes are clearly identified
  • units are provided
  • categories are understandable
  • text is readable
  • the scale represents the data appropriately
  • unnecessary visual effects are removed
  • legends are understandable
  • the chart remains meaningful when printed or exported

Be particularly careful with visual effects that can distort perception.

A dramatic graphic may attract attention while making the underlying evidence harder to interpret.

The data should be the focus.


Tables Need Editing Too

A table generated directly from raw data is not necessarily ready for a thesis.

Consider whether the reader needs every column and row.

Remove irrelevant information.

Use consistent:

  • labels
  • decimal places
  • units
  • abbreviations
  • category names

If abbreviations require explanation, provide it according to the style you are following.

The goal is not to show everything your dataset contains.

The goal is to show the information necessary to understand the result.



Connect the Visual Back to the Writing

Tables and figures should not appear unexpectedly in the thesis.

Introduce or discuss them in the text.

For example:

As shown in Table 3, participants working balanced hybrid schedules reported the highest mean productivity rating.

Then explain why that result matters.

A figure or table provides evidence.

Your writing still has to interpret that evidence in relation to the research question.

Think of the relationship as:

Data

Table / Figure / Chart

Pattern

Interpretation

Research Question

The visual helps communicate the evidence.

The researcher explains its meaning.


Keep Numbering and References Consistent

Long theses may contain many figures and tables.

Consistency becomes important.

If the text refers to Figure 4, the reader should be able to find Figure 4.

If a table appears in the List of Tables, its title and numbering should correspond to the table in the thesis.

The same principle applies to captions, references, and placement.

Small inconsistencies become surprisingly difficult to manage when a document contains dozens of visual elements and continues changing during revision.


Always Check Your Required Style

There is no single formatting rule that applies to every thesis.

Your institution may specify:

  • table and figure numbering
  • title placement
  • caption formatting
  • font requirements
  • spacing
  • page placement
  • citation style
  • source notes
  • lists of figures or tables
  • appendix placement

Your discipline may also have conventions for particular kinds of data.

Use your university's thesis requirements and required citation style as the final authority.
